OmniTrax (“we”, “us”, “our”) is committed to protecting your personal information in accordance with the Privacy Act 1988 (Cth) and the Australian Privacy Principles (APPs). This policy explains what information we collect, how we use it, and your rights in relation to it.

1. Who we are

OmniTrax is a cloud-based business management platform designed for Australian automotive workshops, service centres, and trade businesses. We are based in Australia and our services are directed at Australian businesses and individuals.

2. Information we collect

We may collect the following types of personal information:

  • Contact enquiries — When you submit a demo request or contact us via email, we collect your name, email address, and any information you include in your message.
  • Account information — If you register for OmniTrax, we collect your name, business name, email address, and password (stored as a secure hash).
  • Business data — Data you enter into OmniTrax (customer records, invoices, expenses, etc.) is stored on your behalf. You remain the owner of that data.
  • Usage data — We may collect information about how you use the platform (pages visited, features used, device type) to improve our service.

We do not collect sensitive information (as defined by the Privacy Act) unless you voluntarily provide it.

3. How we collect information

We collect personal information:

  • Directly from you when you contact us, register, or use the platform
  • Automatically when you interact with our website (cookies, log files)
  • From third-party services you connect to OmniTrax (e.g. your bank via open banking, or your payroll provider)

4. How we use your information

We use your personal information to:

  • Respond to your enquiries and demo requests
  • Provide, operate, and improve the OmniTrax platform
  • Send transactional communications (account notices, receipts)
  • Send product updates or marketing communications (you can opt out at any time)
  • Comply with our legal obligations

We will not use your information for any purpose that is incompatible with the reason it was collected.

5. Disclosure to third parties

We do not sell your personal information. We may share information with third-party service providers that help us operate OmniTrax, including:

  • Google Firebase — authentication, real-time database, and file storage (Google LLC, USA — subject to Google's data processing terms)
  • Basiq — Australian open banking provider for bank feed functionality (Basiq Pty Ltd, Australia)
  • Australian Taxation Office (ATO) — OmniTrax is ATO accredited software. Payroll and STP data is lodged directly with the ATO in accordance with Single Touch Payroll requirements.
  • Anthropic — AI features including receipt parsing and issue analysis (Anthropic PBC, USA — subject to Anthropic's data processing terms)

These providers are required to handle your information securely and only for the purposes we specify. We do not authorise them to use your data for their own marketing purposes.

We may also disclose information where required by law, court order, or government authority.

6. Overseas disclosure

Some of our third-party providers are located outside Australia (including the United States). Where we transfer personal information overseas, we take reasonable steps to ensure the recipient handles it in accordance with the Australian Privacy Principles or an equivalent standard of protection.

7. Storage and security

Your data is stored on Google Firebase infrastructure, which uses industry-standard encryption in transit (TLS) and at rest. Access is protected by Firebase Authentication. We implement reasonable technical and organisational safeguards to protect your information from unauthorised access, disclosure, alteration, or destruction.

No method of transmission over the internet is 100% secure. If you believe your account has been compromised, contact us immediately at admin@omnitrax.com.au.

8. Cookies and tracking

Our website may use cookies and similar tracking technologies to remember your preferences and understand how visitors use the site. You can control cookie settings through your browser. Disabling cookies may affect some features of the site.

9. Your rights

Under the Australian Privacy Principles, you have the right to:

  • Access the personal information we hold about you
  • Request correction of inaccurate or outdated information
  • Request deletion of your information (subject to legal retention obligations)
  • Opt out of direct marketing communications at any time
  • Make a complaint about how we handle your personal information

10. Complaints

If you are not satisfied with how we handle your personal information, you may lodge a complaint with the Office of the Australian Information Commissioner (OAIC) at www.oaic.gov.au or by calling 1300 363 992.

We may update this policy from time to time. When we make material changes, we will update the “Last updated” date at the top of this page. Continued use of OmniTrax after any changes constitutes your acceptance of the updated policy.
